1. Controller
The legal person responsible for CADENZA must be entered here with its complete legal name, postal address and direct privacy contact before the application system is opened to the public.
2. Data used for applications
When applications open, the system is designed to collect participant or ensemble details, date of birth, nationality, country and city, contact data, guardian information when required, teacher or music-school details, programme information, notes, consent choices and a performance video.
3. Purpose
The data is used to receive and administer applications, verify eligibility, organize jury evaluation, contact applicants, select finalists and operate the competition. Optional media consent is intended only for approved competition communication.
4. Storage and access
Application records and private video uploads are stored in the configured Cloudflare infrastructure. Access is restricted to authorized administrators and jurors according to their role. Jurors should not receive private contact details or internal admin notes.
5. Retention and deletion
A precise retention schedule has not yet been approved. Before launch, CADENZA must define when unsuccessful applications, account sessions, evaluation records, payment records and uploaded videos are deleted or anonymized.
6. Legal basis and minors
The final version must name the correct legal bases under applicable data-protection law and explain how guardian authorization is verified for minors. Consent must be revocable where consent is the legal basis.
7. Rights and contact
The final notice must explain the applicable rights of access, correction, deletion, restriction, objection and data portability, along with the competent supervisory authority and a verified contact address.
